    How to set up an out-of-office note for your Microsoft 365 mailbox – even if you use Apple Mail

    Vacation, illness or parental leave? No matter why you need an out-of-office message: If you use Microsoft 365 or Exchange Online but manage your emails with Apple Mail, you won ‘t find the automatic reply function directly in the macOS Mail app. But don’t worry – we’ll show you how to easily send your out-of-office message via the web.

    Why Apple Mail is not enough for this

    If you use Apple Mail on your Mac, you have probably successfully integrated your Exchange mailbox. Unfortunately, Apple Mail does not show you all the functions of Exchange Online – including automatic replies (out-of-office messages), for example. This function is exclusive to Microsoft and is best activated via Outlook Web Access.

    Set up an out-of-office note correctly – step by step

    1. Open Outlook in your browser:
      Go to https://outlook.office.com and log in with your Microsoft account.
    2. Direct link to the out-of-office note:
      Click here to jump directly to the correct setting:
      Set up out-of-office note now →
    3. Alternatively manually: Click on the cogwheel at the top right (⚙️), then on the left on Account → Automatic replies.
    4. Activate “Enable automatic replies”:
      Now you can set the time period and enter your message.
    5. Optional: Activate “Send replies to people outside your organization” and “Send replies only to contacts” if you wish.
    6. Save – done!
      From now on, your out-of-office message will be sent automatically – even if you use Apple Mail.

    • The message is sent via the Exchange servers – regardless of whether your device is running.
    • You can configure a different message for external contacts.
    • The function is also available in the Outlook apps for iOS, Android and macOS.
